This Service Schedule explains our Christmas Card Design & Print service. It applies only when it is named in your accepted Order and was supplied to you before acceptance. It must be read with that Order and whichever of our Consumer Terms and Conditions or Business Terms and Conditions applies to you.
At a glance
This summary and the detailed terms below both form part of this Service Schedule. The detailed terms explain the summary.
What is included
- A consultation about the occasion, audience, message, style, format and intended use of the Christmas cards.
- In-house design work and print-ready artwork for the card specification identified in the Order.
- Where expressly ordered, arrangement of printed cards through the print partner identified or selected in the Order.
- Proof preparation and a reasonable opportunity to check and approve the wording, images, layout and production specification before printing.
- Delivery to the address or addresses recorded in the accepted Order where delivery is included in that Order.
What is not included
- Printing, envelopes, postage, delivery, special packaging or other physical products unless expressly included in the Order.
- A fixed package, fixed quantity, fixed card format, fixed stock, finish, envelope style, delivery date or price unless expressly stated in the Order.
- Raw working files, rejected concepts, editable Adobe Illustrator files, design software, stock assets, photography, illustration, translation or copywriting unless ordered separately.
- Distribution, mailing, recipient-address management, responses, event management or fulfilment after delivery.
- Changes after written proof approval, reprints caused by approved or client-supplied errors, or a new design direction after work has started, unless expressly included.
Important to know
- The Order controls the agreed card format, quantity, stock, finish, envelopes, delivery arrangements, price and VAT treatment.
- The card specification and price are agreed for the brief and recorded in the Order. If we provide an estimate before acceptance, it is a good-faith indication rather than a fixed quotation unless the Order expressly says otherwise.
- We do not promise a fixed turnaround. Any date is a target or supplier estimate unless the Order expressly records a binding deadline.
- Printing starts only after the required proof and production details have been approved and any required payment has cleared.
- Screen colours, printed colours and paper appearance can differ. Normal print, cutting, folding, registration and finishing tolerances apply.
1 How this Service Schedule works
1.1 This Service Schedule applies only to the Christmas Card Design & Print service and deliverables identified in the Order. Work, products or outcomes not identified in the Order are outside scope.
1.2 If you are an individual buying wholly or mainly outside your trade, business, craft or profession, our Consumer Terms and Conditions apply. In all other cases our Business Terms and Conditions apply.
1.3 The accepted Order, applicable main terms and this Service Schedule form one contract. Their priority is determined by the main terms. A clear project-specific provision in the Order may vary this Schedule, but nothing restricts a mandatory consumer right.
1.4 This is a one-off project unless the Order expressly describes a continuing element. There is no automatic renewal for the design or print work.
2 Service scope and suitability
2.1 This service is suitable for households, individuals, sole traders, charities, clubs, schools, education providers and businesses wanting personalised Christmas cards for personal, organisational, promotional or customer communications.
2.2 We can explore card designs for a named occasion, audience and message. The Order may specify a folded or flat card, size, orientation, paper stock, coating or finish, colour process, quantity, envelopes, packaging, delivery address and any required variants.
2.3 The final scope is the specification recorded in the accepted Order. Additional sizes, quantities, languages, versions, recipient groups, formats or substantially different concepts are additional chargeable work.
2.4 A request made near a seasonal or supplier deadline may be accepted only if the available production and delivery arrangements make it reasonably practicable. Acceptance of the design work does not by itself guarantee that printed cards can be produced or delivered by a particular date.
3 Consultation, design and deliverables
3.1 We begin with a consultation about the occasion, audience, message, style, colours, branding, photographs, artwork, format and intended use. We may record the requirements in a written brief.
3.2 The Order records the agreed design process, including whether initial concepts or creative directions are included and how many revisions are included. We do not promise a particular number of concepts or revisions unless the Order expressly states it.
3.3 Where the Order includes alternative concepts, the client selects the direction to be developed in writing. We then develop the agreed direction and prepare a proof for the agreed card specification. Developing another direction, restarting the brief or exceeding the agreed allowance is additional work.
3.4 Revisions are charged at the agreed hourly rate unless the Order states a fixed included allowance. Feedback must be clear and consolidated through the authorised contact.
3.5 The normal design deliverable is a print-ready, non-editable PDF prepared for the agreed size, bleed, colour mode and production specification. Another file type, editable format or source file is included only when the Order expressly says so.
4 Client content, image rights and approvals
4.1 The client is responsible for supplying accurate and authorised wording, names, dates, logos, crests, photographs, illustrations and other content in a usable format.
4.2 The client confirms that it owns or is licensed to use every supplied item, including photographs of people, fonts, logos, quotations, artwork and personal information. The client must obtain any consent needed to reproduce a person’s image, name or message.
4.3 The client must check every word, number, spelling, name, address, image, colour, dimension, variant and production detail. Written approval authorises finalisation and, where ordered, submission to print.
4.4 The client remains responsible for the lawfulness and suitability of the message, including any advertising, promotional, fundraising, school, charity, safeguarding, religious, political or regulated content. We do not provide legal, regulatory or advertising advice unless expressly ordered.
4.5 An error reasonably visible in an approved proof is the client’s responsibility unless it resulted from our failure to use reasonable care and skill. Correction of a client-approved error after approval is chargeable, including any reprint or supplier charge.
5 Printing, production and delivery
5.1 Printed cards are supplied only when the accepted Order identifies them as included. Card format, size, quantity, stock, finish, envelopes, packaging, delivery address and delivery charges are agreed for the particular Order.
5.2 We may arrange production through a Yorkshire-based print partner or another supplier identified in the Order. Availability, specifications, prices, production capacity and delivery arrangements are subject to that supplier’s current offer.
5.3 We will not submit a print order until the client has approved the proof and production specification and any required deposit or payment has cleared. A supplier may not be able to cancel or amend production once it has started.
5.4 A print-production change requested after approval is additional work and may incur supplier charges, re-setup charges or a new delivery charge. If a supplier changes a specification or cannot provide the agreed product, we will explain the available alternatives and obtain approval where a material change is required.
5.5 Delivery dates are supplier estimates or targets unless the Order expressly records a binding deadline. Delivery may be affected by seasonal demand, stock, production, courier delay, weather and other matters outside our reasonable control.
5.6 The client must provide a correct delivery address and ensure that someone can receive the goods where required. The client must inspect the delivery promptly and tell us about visible damage, shortage or apparent non-conformity without undue delay.
5.7 We will use reasonable care in arranging production and delivery, but we do not guarantee a third-party printer or courier’s performance. Our responsibility for defective, damaged, late or misdescribed goods is governed by the applicable main terms and mandatory law.
6 Charges, VAT and payment
6.1 The Order records the card specification and the price agreed for the brief, together with VAT treatment, payment schedule, deposit and any separate design, print, delivery or supplier costs. Consumer prices include VAT. Business prices exclude VAT unless stated otherwise.
6.2 If we provide an estimate before acceptance, it is based on the information available when prepared and is a good-faith indication rather than a fixed quotation, cap or guarantee unless the Order expressly says otherwise. A changed brief, additional work or supplier change may require a revised price for approval.
6.3 Chargeable time includes consultation, design, revisions, proofing, production checks, file preparation, supplier liaison, administration specific to the project and correcting problems that we did not cause.
6.4 Printed goods or supplier commitments may require payment or a deposit before ordering. Once a supplier commitment has been made, the client remains responsible for the corresponding agreed cost except where mandatory law provides otherwise.
7 Timetable and seasonal deadlines
7.1 We do not promise a fixed turnaround or a standard package. The Order may contain a target date based on the then-current supplier information and the client’s required approvals.
7.2 Any design-stage target we agree is subject to availability, cleared payment, receipt of complete content and instructions, prompt feedback and third-party input. It is a target, not a guarantee, unless expressly stated as a binding deadline in the Order.
7.3 The client must allow enough time for consultation, design, proof review, approval, production and delivery. A requested Christmas delivery date may not be achievable if the brief, approval or payment is late or a supplier’s seasonal capacity changes.
8 Intellectual property and source files
8.1 The client retains ownership of supplied material and permits us to use it only as reasonably required for the service, production and legal compliance.
8.2 Until full payment, all rights in our work remain with us. After full payment, the client receives a perpetual, worldwide, royalty-free licence to use, reproduce and distribute the approved final artwork for the intended personal, organisational or business purpose.
8.3 Raw working files, editable Adobe Illustrator files, design templates and reusable tools are not included unless separately ordered. If a cleaned editable source file is ordered and supplied, any copyright transfer is limited to the bespoke final artwork we own and excludes our pre-existing materials, fonts, stock assets, templates and third-party material.
8.4 Third-party fonts, images, illustrations and other assets remain governed by their own licences. Any paid asset must be separately approved and charged unless the Order expressly includes it.
8.5 We may display the final work in our portfolio unless the client opts out before publication. We will take reasonable steps to avoid displaying personal contact details or private recipient information.
9 Data protection and confidentiality
9.1 Each party must comply with applicable data-protection law and the privacy, confidentiality and security provisions in the applicable main terms. The client remains responsible for its lawful basis, privacy information, data accuracy, retention decisions and handling of rights requests for data it controls.
9.2 Where we process personal data on behalf of a business client, the Article 28 terms in the Business Terms apply. The subject matter is the Christmas Card Design & Print project; processing lasts for the service and the agreed or legally required retention period; its nature is receiving, storing, viewing, organising, adapting, transmitting, backing up or deleting data as needed to perform the service; its purpose is to provide and support the contracted service; the data may include names, addresses, contact details, photographs, signatures, messages and other supplied content; and the people concerned may include the client, its staff, customers, pupils, students, members, guests, family members and other people shown in the material.
9.3 The client must not provide special-category or highly sensitive data unless it is necessary, lawful and expressly agreed after an appropriate assessment. The client must promptly tell us about confidentiality, safeguarding, residency or other restrictions affecting the project.
10 Consumer cancellation and mandatory rights
10.1 A consumer entering a distance or off-premises contract will normally have 14 days from contract formation to cancel, subject to statutory exceptions. The Consumer Terms explain how to cancel and include the model cancellation form.
10.2 If a consumer expressly requests the design service to start during the cancellation period and later cancels, we may charge a proportionate amount for the service supplied up to cancellation. The service cancellation right is lost after full performance only where the statutory request, consent and acknowledgement requirements have been met.
10.3 Printed cards made to the consumer’s specification or clearly personalised may fall within a statutory cancellation exception. We will identify that consequence before accepting the relevant print Order. Faulty, misdescribed or non-conforming goods remain subject to statutory remedies.
10.4 If the consumer cancels before printing and the relevant statutory cancellation right applies, we will deal with the design work, supplier commitments and any refund in accordance with the Consumer Terms and applicable law. A printer commitment that cannot lawfully be cancelled does not remove any mandatory consumer right.
11 Suspension, cancellation, termination and offboarding
11.1 Suspension, termination, non-payment, material breach, insolvency and their consequences are governed by the applicable main terms and the Order. We may pause work where required information, approval, cooperation or cleared payment is missing.
11.2 You may ask us to stop before completion, but work properly performed and authorised supplier commitments remain payable, subject to consumer cancellation rights and mandatory remedies. Any unearned balance will be dealt with under the main terms.
11.3 We may refuse or end work if the client insists on unlawful, misleading, defamatory, infringing, discriminatory or unauthorised content. Work performed and commitments already made remain payable, subject to mandatory rights.
11.4 After delivery, the client must promptly download, check and securely retain the final artwork. We do not promise permanent archive storage, later amendments or future reprints unless separately ordered.
12 Service standard, remedies and limits
12.1 We will perform the design service with reasonable care and skill and materially in accordance with the Order and this Service Schedule. Printed goods must meet the standards that mandatory law requires.
12.2 A design, production or delivery target is not a guarantee unless expressly stated as a binding commitment in the Order. We do not guarantee a particular creative, commercial, seasonal, response, delivery or print outcome where it depends on client approval, third-party production or matters outside our reasonable control.
12.3 If the service or goods do not meet the required standard, the correction, repeat-performance, price-reduction, repair, replacement, refund and other remedies in the main terms and law apply. Nothing in this Schedule excludes liability that cannot lawfully be excluded or limited.
12.4 Liability limits, insurance, complaints, dispute resolution, governing law, force majeure and other general matters are governed by the applicable main terms.
13 Completion
13.1 The design service is complete when we make the approved final artwork available in the agreed format, subject to sums due. A print Order is complete under its own production, delivery and acceptance terms.
13.2 No ongoing monitoring, alterations, storage, distribution or support is included after completion. New seasons, messages, recipient groups, formats and reprints require a new or varied Order.
