We determine the retention period according to fixed objective criteria: When you submit a website enquiry, your name, contact details, any company name, selected services and message are saved as a WordPress Service Enquiry. WordPress automatically removes this copy on a daily schedule once 84 months have passed since submission. The emailed enquiry is captured as a ticket in WHMCS and follows the WHMCS retention rules below. In WHMCS, inactive prospective-customer (CRM lead) records and their linked tickets and estimates are deleted after 84 months without a genuine interaction. Correspondence, calls, notes, recorded responses and other meaningful lead activity can restart that period; automated marketing sends alone do not. Completely unlinked tickets are deleted 84 months after their last activity. Files on client- or lead-linked tickets remain with the linked record. Files on completely unlinked closed tickets can be removed after 84 months without a reply or note. A legal duty, claim or hold may require longer retention.

We determine the retention period according to fixed objective criteria: We keep client and service records while providing services. Our WHMCS retention process is set to delete inactive or closed client accounts after 84 months without a newly raised invoice, payment, support correspondence or recently ended service. Active services, held tickets and legal holds prevent automated deletion. Client-linked tickets and their attachments remain with the account until it becomes eligible for deletion; standalone attachment pruning applies only to completely unlinked closed tickets after 84 months without a reply or note. Stored email history and activity logs are removed 84 months after each entry’s date, subject to holds. Superseded, unaccepted estimate drafts are removed after 84 months; expired unused acceptance tokens and detached temporary files have a 30-day grace period. Accepted orders and their evidence, confirmations, invoice and ticket links, accounting links and signature references are protected from automatic deletion; records reaching the 84-month review point are reported for review instead. Accounting records have a separate legal retention period, and specific records may be kept longer where a legal obligation or claim requires.
